Consular Assistant/Receptionist

Assistant:- 50%
  • Providing assistance and advice to Distressed British Nationals guided by senior officers
  • Provide all Emergency Travel Document applications according to best practice; ensuring suitable checks are carried out and referring to senior officers where necessary
  • Ensure public areas display effective information; work with the Embassy guards to manage walk-in customers; ensure that requests for information are managed effectively
  • Manage the email inquiries inbox; respond to routine inquiries; escalate more complex cases to senior staff
  • Taking and record info of fees for consular services
  • Preparing and responding to mass casualty incidents, crises, participating in consular preparations and involvement in mass events
  • Other administrative support as required
2. Reception:- 50%
  • Greet visitors and inform staff of visitors upon arrival
  • Control access to the main office
  • Handle and redirect calls through Embassy switchboard
  • Ensure knowledge of staff movements in and out of organisation
  • Receive and sort/distribute mail and deliveries.
  • Assist as necessary with logistics for large office meetings, when requested
  • Tidy and maintain the reception area
  • Make inquiries and obtain information as requested, e.g contact details, directory inquiries
  • Photocopying, scanning and shredding as required
  • Provide administrative support as required
    Requirements
  • Essential on arrival: The candidate should ideally have experience in working for a medium to large organisation in customer service activities. He/she should possess an excellent command of written and spoken English with strong organisational, communication, customer service, team working and computer skills (MS outlook, Word, Excel). Good time management skills and ability to deal effectively with multiple tasks is essential.
  • Desirable: Knowledge and understanding of consular work and public sector service delivery and values would be beneficial but not essential as this can be learnt through on the job training.
