OVERVIEW OF CTG GLOBAL

OVERVIEW OF THE POSITION
Responsible for the Workshop Management and oversight of all CLIENT Assets in the Area Office and co-ordinate these activities in accordance to the Procedures, Normative Guidelines and Business Rules as set by CLIENT.
GENERAL FUNCTIONS
Role objective:
Under the direct supervision of immediate Supervisor and in co-ordination with all Fleet staff, the incumbent shall perform the following duties:-
  1. Carry out Scheduled Maintenance & Repair, Overhaul, Reconditioning, Modifications, in a most efficient manner with the ultimate objective to ensure that all vehicles are maintained to a high standard and roadworthy condition.
  2. Responsible to oversee the Materials Management aspect of the operation and in particular the controlling, justification and issuance of Spare Parts, tyres, lubricants & Consumable Materials.
  3. Responsible for forecasting and requisitioning of spare parts: Preparation of orders for spare parts / tires and materials required for the operation and submit these requests for the approval of the Transport Manager.
  4. Carefully record and maintain an Inventory list of all Tools & Workshop Equipment.
  5. Provide oversight and supervision to all staff and ensure that the work is carried out to a satisfactory standard as required by the Organisation; including strict time-keeping and completion of timesheets.
  6. Involved in the control and cost effectiveness of the vehicles and prepare recommendations for write-offs, where necessary.
  7. Investigate means to constantly reduce the operational costs of the Fleet pertaining to maintenance activities.
  8. Using VMRS (Vehicle Maintenance & Reporting Standards), Reason-For-Repair, Work-Done-Codes and Component Codes, Analyse Data to improves maintenance and recommend modifications to solve technical problems.
  9. Responsible for the management of tyres which include maintenance practices, controlling mechanisms and performance monitoring.
  10. Ensure that proper Workshop Administration, record keeping & vehicle History Records are well maintained via the Fleet Management System.
  11. Ensure that timely accurate data is entered into the FMS for the Repairs, Tyres & Stock Control Modules.
  12. Responsible to Manage and ensure that all reports and information as required by the Organisation are produced promptly on a timely basis via the newly established CLIENT (FMS) Fleet Management System. Additionally analyze information and quality of reports prior to distribution.
  13. Responsible for the Management of Oil & Lubricants ensure that the quality / quantities of the supply of lubricants are in accordance to standards set.
  14. Implement Best Practices established and ensure that KPI’s (Key Performance Indicators) are maintained with parameters set.
  15. Ensure that minimum Health and Safety requirements are met in full, together with considerations for environmental needs.
  16. Work in accordance to the Vehicle Fleet Management Project Activity Work-Plan established by the Head, CLIENT Fleet.
  17. Responsible to ensure that all staff (Persons Reporting) carries out their duties in accordance to their Job Descriptions set.
  18. Continuously collect and collate valuable data or information relating to improvements required for Standardisation and Development purposes for Fleet Management and communicate this information to other staff in the Fleet Section.
  19. Share experiences gained with other staff members and strive towards creating good team building and harmonious atmosphere.
  20. Loss or damage of Cargo, Spares, Tools or Equipment as well as Loss of Fuel in the care of the employee shall be deducted from the salary based on CIF value or Local Market Rate, whichever is prevailing. This can also lead to penalties or dismissal to the Personnel and penalties on the Service Provider or Contractor.
  21. Travel occasionally, as required by the Organisation.
  22. Will perform any other duties as requested by immediate Supervisor
Expected output:
  1. Ensure that the Fleet is managed in the most cost efficient manner to achieve maximum vehicle availability and minimum downtime.
  2. Responsible to ensure that all reporting / administrative and operational functions within the Fleet Section are organised in an efficient manner to maintain the high standards that are expected by the Organisation.
  3. Ratio between Scheduled and unscheduled repairs in accordance to parameters set.
  4. Required to establish the necessary resources to match the overall operational requirements and monitor trends upwards or downwards and adjust resources accordingly to match these trends.
  5. Demand for services should be matched to resources available.
Project reporting:
Persons Reporting: Foreman, Mechanics, Assistant Mechanic(s), Electrician(s), Welder / Fabricator(s), Panel beaters / Sprayer(s), Tyre Person(s), Stores Supervisor, Stores person(s), Security Guard(s), Vehicle Inspector, Mobile Workshop Driver / Mechanic and Cleaner(s)
Team management:
Will liaise and co-operate with all other employees within the Fleet Unit and other Departments within the Organisation with particular emphasis with Logistics section. Work closely with other Workshop / Fleet Managers in Darfur.
ESSENTIAL EXPERIENCE
Education:
Bachelor's degree in Auto Mechanics /experience gained light and heavy Vehicles. Completed “A” Levels in Mathematics and English as main subjects. Completed a full course at Technical college, University or similar institution in Auto Mechanics with experience gained in both light and heavy Vehicles
Work experience:
§ Minimum of 10 years of demonstrable relevant Engineering – Mechanical experience.
Geographical experience:
§ Minimum of 3 years of experience in Africa with local experience in Khartoum is an advantage.
Languages:
§ Fluency in English is essential.
Key competencies:
§ Has taken regular Technical training refresher courses.
§ Held the position of Workshop Manager or Senior Supervisor or similar job in a Company / NGO with at least 5-10 years’ experience gained in the relevant field.
§ Good working knowledge of the complete Microsoft Office suite.
§ Extensive experience gained using a computerised Fleet Management System.
§ Member of professional institution such as Institute of Road Transport Engineers or Logistics & Transport
